Overview: As the Office Manager, you'll be instrumental in coordinating administrative functions within the company. Your role encompasses overseeing sales and purchase orders, stock control, administrative tasks, and maintaining quality control measures. Efficient office operations and support across departments are central to your responsibilities.

Key Responsibilities:

  • Sales Orders Management:

    • Receive, process, and manage sales orders from customers.
    • Collaborate with the sales team to ensure accurate order fulfillment.
    • Maintain records of sales orders, invoices, and payments.
  • Purchase Orders:

    • Create and manage purchase orders for necessary supplies and materials.
    • Coordinate with vendors and suppliers for timely delivery and cost-effective procurement.
    • Track and reconcile purchase orders with receipts and invoices.
  • Stock Control:

    • Oversee inventory levels and manage stock control systems.
    • Conduct regular audits to track inventory movement and prevent stockouts or overstock situations.
    • Collaborate with relevant teams to forecast demand and manage stock replenishment.
  • Administrative Duties:

    • Maintain office procedures and ensure compliance with company policies.
    • Handle correspondence, manage filing systems, and organise office operations.
    • Coordinate meetings, appointments, and travel arrangements for executives if required.
  • Quality Control:

    • Implement and monitor quality control procedures to maintain product/service standards.
    • Conduct inspections and quality checks on incoming/outgoing goods.
    • Collaborate with departments to address quality-related issues and implement improvements.
