Front Desk Administrator
The SF Group are currently recruiting for a Senior Front Desk Administrator to join one of their clients based in Swadlincote. This is a fixed term contract position and therefore, you must be immediately available or available on short notice. The contract will be a minimum of 10 months, however could be extended.
Hours for the role are 8-4.30pm Monday to Thursday and 8-1.30pm on a Friday!
The role will incorporate Reception/Front Desk duties and a variety of administration tasks which makes it a very varied role, therefore requiring someone who can prioritise their own workload and who is extremely organised.
Typical duties will include:
- Greet and welcome visitors
- Ensure visitors are signed in and out
- Ensure the reception area is tidy and presentable
- Manage and update the system access software and create new fob access for new employees
- Organise flights, hotels, trains, taxi, etc.
- Liaise with the travel agency
- Provide administrative support when required linked to travel organisations
- Schedule meetings and appointments when required
- Prepare conference rooms
- Prepare refreshments and order food
- Maintain meeting rooms diary and ensure bookings of conference rooms
- Order and maintain stock office supplies within budget and liaise with purchasing department
- Order and maintain refreshment stock within budget and liaise with purchasing department
- Assist in maintaining the office conditions and organise the necessary repairs
- Support HR and SMT for specific queries
- Organise events as required
- Offer general ad-hoc support to colleagues within the workplace, assisting with administrative tasks as required
- Provide support to the HR Manager for internal communication when required (intranet, memos, etc.)
- Copying, scanning and filing documents
This position requires someone that is a very strong administrator, who can use their own initiative and manage their own workload whilst also being competent to manage a professional reception desk.
You must have previous administration experience along with working knowledge of Microsoft programmes and a fantastic telephone manner.
