Job Title: Administrative Support Specialist
Location: Alfreton, Derbyshire, UK
Job Type: Temporary to Permanent
Working Hours: Monday - Friday 9am-5pm (office based)
Salary: £12.00 per hour (37.5 hour working week)

Job Purpose: The primary purpose of this role is to support various aspects of administrative processes within both the service and finance departments. The ideal candidate will have a customer service background, strong organisational skills, and the ability to manage processes efficiently in a dynamic environment.

Key Responsibilities:

  • Review, renew, and generate service contracts for existing customers.
  • Process orders for existing customers, including purchase and sales ledger entry for spare parts
  • Perform data entry and document uploads into customer-based software.
  • Handle telephone enquiries, take messages, and log breakdowns in the service department.
  • Collaborate with the Quality Systems Controller on ERP data input, scanning files, and preparing delivery/collection notes, order acknowledgements, and supplier documents.
  • Manage office stationery and canteen supplies.
  • Provide general admin/office support across departments, including filing and scanning.
  • Communicate and provide information internally and externally to support operations and effective service, connecting sales, production, and service teams.
  • Explore opportunities for generating new service contracts with past customers, in collaboration with the Operations Manager.
  • Support service work order processing and invoicing during busy periods or absences.
  • Assist the Administrative Coordinator with production department processes during peak times or absences.
  • Perform other ad hoc duties as required by the Finance Manager.

Skills and Experience:

  • Basic proficiency in Microsoft Office, especially Excel and Word.
  • Ability to work across multiple disciplines and manage time effectively.
  • Strong administrative experience
  • Good attention to detail
  • Good organisational skills
